Have you ever uploaded contracts, resumes, receipts, work reports, or private photos to ChatGPT and asked the AI to help analyze them?

After finishing your task, you might delete the entire chat, assuming the files disappear along with it.

But that’s not always the case.

OpenAI clearly states: deleting a conversation does not simultaneously delete files stored separately in the Library.

Today, we'll explain ChatGPT’s conversation, file, and deletion mechanisms in the simplest way.

1. If I delete a ChatGPT conversation, will previously uploaded PDFs also be deleted?

Not necessarily.

ChatGPT now offers the Library feature, which centrally stores files you’ve uploaded or created, including documents, images, spreadsheets, and other supported file types for easier reuse.

This means that in typical uses supporting the Library, the same PDF could be involved in two different areas:

  • Chat content: what you discussed with the AI, how the AI responded, and the information maintained in the chat.
  • Library files: PDFs, photos, or other independently saved files you uploaded.

Even if you delete the chat, the files saved separately in the Library may still be retained.

Therefore, if you truly want to remove a sensitive file, you can’t just check whether the chat has been deleted.

You also need to verify if the Library still holds that file.

2. What’s the difference between ChatGPT's “Delete” and “Archive”?

This is another point of confusion.

Archive

Archiving simply moves the chat out of the regular sidebar.

The chat remains in your account and can be retrieved from the Archived conversations folder.

Thus, archiving is not deleting, and it certainly does not mean files have been removed.

Delete

When you delete a chat, it is immediately removed from your account’s interface.

According to OpenAI’s official data retention policy, conversations are generally scheduled for permanent deletion within 30 days but certain exceptions exist for security, legal obligations, or anonymized data.

This does not mean that all backend data are instantly wiped the moment you press Delete.

Nor does it mean that files stored separately in the Library, Projects, or custom GPTs are deleted simultaneously.

3. To completely remove uploaded data, where should you check?

First, confirm the method you used to upload the files and then address the corresponding places.

First place: Chat history

If the original conversation still exists and you no longer need to keep the file’s content or discussion records, choose Delete from the chat’s options.

If you only Archive it, the chat remains stored.

Also note that even if you delete the original file from the Library first, any summaries, extracts, or other information created during the conversation may still remain in the chat history.

Therefore, both must be checked separately.

Second place: Library

Open Library from the left sidebar in ChatGPT’s web version.

Find the PDFs, images, or other files you’ve uploaded and see if any copies you no longer want are still there.

If so, select the file and use Delete.

Some accounts also offer a Recently Deleted section where you can choose Delete Forever.

According to official info, files deleted from the Library are generally scheduled for permanent removal within 30 days but exceptions apply for legal and security reasons.

Third place: Projects, custom GPTs, or original cloud services

If you’ve added files to ChatGPT Projects or uploaded them as knowledge to custom GPTs, those files follow their own retention rules.

These should be reviewed and removed through their respective Project or GPT management interfaces.

Additionally, if you connected a third-party cloud service like Google Drive to use original files, deleting ChatGPT conversations will not delete the original documents in Google Drive.

To manage the original files, you still need to handle those in the cloud service itself.

So, the key is not just asking “Have I deleted the chat?” but verifying exactly where your data is actually stored.

4. Does using Temporary Chat avoid these issues?

Temporary Chat functions differently.

OpenAI states that temporary conversations don’t appear in your regular chat history and won’t be used to improve the model while kept as temporary.

Files uploaded in Temporary Chat also aren’t saved to the regular Library while the chat remains temporary.

However, this does not mean the data aren’t retained.

OpenAI may keep copies of temporary conversations for security purposes for up to 30 days.

If you choose to save a temporary chat as a regular conversation, retention rules change, and supported files might then be saved to the Library.

If Temporary Chat data are sent to third-party services via GPT Actions, those parties might retain data according to their own policies.

Therefore:

Temporary Chat uses a different data management approach but does not guarantee zero data retention.

5. Are deleting data and “not using data to train the model” the same thing?

They are different issues.

Whether data are used to improve the model depends on your account’s data controls, the service type, and whether the conversation is temporary.

Whether data are retained involves chats, Library, Projects, GPTs, and applicable retention policies.

Just because content isn’t used for training doesn’t mean it isn’t stored.

Conversely, deleting a chat should not be assumed to clear all other copies elsewhere.

These two need to be checked separately.

6. What’s the most common mistake users make?

Say you’re a freelancer.

You upload a client’s contract PDF to ChatGPT to help summarize key clauses.

After analyzing, you delete the chat.

If the file remains separately saved in the Library, just deleting the chat does not complete your intended data cleanup.

This is a hypothetical scenario to explain product behavior and does not imply that specific users’ files remain in the system.

A better process is, after your work is done, to check chat history, saved files, and any other places you used the file to see if any related data still need to be kept.

If documents involve client confidentiality, identity information, or company data, always adhere to confidentiality duties and data usage policies.

Remember this one thing today

ChatGPT conversations and files may be stored separately.

Deleting a chat does not guarantee files in the Library are gone.

Archiving a chat is not deleting.

If you want to remove sensitive data you no longer need, first locate where it’s stored and then handle chats, files, and other copies separately.

True data management isn’t completed by just pressing delete; it requires knowing exactly which data you are deleting.
